  • They are accountable to UK data protection law

Before you upload a single audio file containing client information, ask your provider:

1. Are you ICO registered? Ask for their registration number and verify it yourself.

2. Who transcribes the work? Is it a human transcriptionist, an AI tool, or a combination? AI tools often send your audio to third-party cloud servers for processing — sometimes in countries outside the UK.

3. How is my file stored and for how long? Files should be stored securely during the project and deleted promptly upon completion. Ask for a written confirmation.

4. Do you have a data processing agreement (DPA)? Under UK GDPR, if you're commissioning a data processor, you should have a DPA in place. A reputable provider will have one ready.

5. Who else has access to my files? If a provider uses freelancers, subcontractors or AI platforms, your files may be accessed by more people — or systems — than you realise.
